1. Purpose
Process Primer Consulting respects individual privacy and we are strongly committed to the protection of Personal Information for our clients, employees, contractors, and other individuals who visit our website or interact with our services. This privacy policy (“Privacy Policy”) provides guidance on our approach to the collection, use, disclosure, access, safeguard, retention, and disposal of individual Personal Information in accordance with the Personal Information Protection Act (“PIPA”) within the province of Alberta, and in accordance with the Protection of Personal Information and Electronic Documents Act (“PIPEDA”) of Canada.
2. Definitions
The following definitions apply to the Privacy Policy:
- “Personal Data” is any information that relates to an identified or identifiable natural, living individual;
- “Personal Information” (PI) means recorded information about an identifiable individual which includes, but is not limited to, first and last name, home addresses and telephone numbers, age, gender, marital or family status, social insurance number, employment history and banking or other financial information; and
- “Sensitive Personal Information” pertains to medical, biometric, or genetic information, as well as information related to race, ethnicity, political opinions, religious or philosophical beliefs, trade union membership, sexual orientation or sex life, as well as the Personal Information of minors.
3. Collection
We only collect Personal Information which is necessary to fulfill a business relationship. Any Personal Information we collect has a clear and explainable purpose and we will not ask you for Personal Information without providing verbal or written (or both) explanation for its collection.
Depending on the business purpose (explained further in Section 4: Use), we may collect the following Personal Information:
- Name;
- Phone number;
- Email address;
- Home address;
- Social Insurance Number;
- Previous employer;
- Personal references names;
- Emergency contact name and number; and
- Banking information.
Your Personal Information may be collected when you contact us for an inquiry, submit forms on our website, participate in our blog, subscribe to our newsletter, or engage in a business service relationship.
4. Use
Your Personal Information may be used for any of the following purposes:
- To contact you regarding a former, existing, or potential business relationship;
- To provide and improve our services, including client management, process improvement, project delivery, and communication;
- To contact you in relation to an inquiry that you have made regarding services, employment, contracting, or consulting;
- To conduct identification verification or background checks in relation to employment or contracting;
- To provide you information via our newsletter;
- To offer or maintain your employment or contracting services;
- To personalize your user experience, or improve our website and services;
- To process payments, invoices, and other financial transactions; and
- To fulfill legal, and regulatory obligations.
5. Consent
We promise not to use your Personal Information without your permission and your Personal Information will only be used for the purpose for which it was collected.
In some cases, consent may be implied. For example, to enter into a contracting or consulting business relationship with Process Primer, it can be considered obvious that “your name” and “your email address” must be shared for identification and contact purposes. In order for our company to work with you and contact you, it is reasonable to assume that you must share your name and contact information.
In other cases, consent may be explicit. For example, if you do not have a current or recent business relationship with Process Primer, and you would like you join our newsletter to receive valuable information from us, you may need to check a checkbox that authorizes us to contact you in order for you to submit your contact email address to join our newsletter.
In certain circumstances, Personal Information may be collected, used, or disclosed without the knowledge or consent of the individual. Examples include, but are not limited to, Personal Information gathered for legal or security purposes, and prevention of fraud or for Law Enforcement purposes.
6. Storage
In most cases, Personal Information is securely stored using Microsoft and Sync.com services, which are primarily hosted in Canada. However, due to the use of other applications (e.g., website hosting, web forms, Monday.com), some Personal Information may also be stored in the United States or in Europe via third-party application providers.
8. Data Security
We implement appropriate measures to protect Personal Information from unauthorized access, loss, misuse, alteration, or destruction.
General safeguards include, but are not limited to:
- user authentication;
- access level policies;
- data obfuscation;
- data de-identification; and
- data encryption (in transition and at rest).
We review and update our security practices regularly to maintain the integrity and confidentiality of data. However, please note that no method of data transmission or storage can be 100% secure, and despite our diligent efforts, we can never guarantee absolute data security.
9. Retention and Disposal
Our Data Retention and Disposal policies ensure your Personal Information is not retained for longer than is absolutely necessary, and disposal processes ensure the full destruction of your Personal Information.
10. Your Rights and Choices
Where your personal information is concerned, you have the right to:
- access and obtain a copy of your Personal Information;
- correct inaccurate or incomplete Personal Data;
- delete or erase your Personal Information, subject to legal obligations;
- withdraw your consent, where applicable; and
- challenge compliance.
